Deadlines
Support documents are due on the following dates: 

February Review: February 15
May Review: May 15
August Review: August 15
November Review: November 15

If a deadline falls on a weekend or federal holiday, the deadline is moved to the next business day.


Reference Reports

Applications for postdoctoral and Senior Associateship awards must include four reference reports. Applications for Faculty Fellowship awards must include three reference reports. Individuals completing online reference reports should be acquainted with the applicant's academic and professional background. At least two should be persons the applicant has recently worked with in their major field. Postdoctoral applicants must include their thesis adviser (TA) as one of their four references.

Reference writers may not be employed in any capacity, or any location, of the agency to which the applicant is applying unless the reference writers have served as mentors or collaborators on research performed while the applicant was a student, postdoc, or faculty member.

All reference reports must be completed online. The Fellowships Office will not accept hard copy letters or letters sent as e-mail attachments.

Transcripts 
Postdoctoral applicants must provide transcripts from all post-secondary (undergraduate and graduate) institutions attended. Transcripts may be unofficial but should be current and must include all coursework as well as the degree being pursued. For degrees already earned, transcripts must include the date of the degree awarded. Transcripts from non-U.S. institutions must also meet the requirements below:
  • Transcripts issued in a language other than English must be accompanied by a certified translation into English.

  • Transcripts must include a description of the institution’s grading system.

  • Postdoctoral applicants who are pursuing or hold a degree from a non-U.S. institution that does not issue transcripts must request the institution to send an official letter including the following information: 
    • Statement that the institution does not issue transcripts
    • Applicant's dates of enrollment at the institution
    • Degree applicant received and date it was awarded or confirmation that applicant is currently enrolled in a doctoral program and anticipated award date
  • Postdoctoral applicants who are pursuing or hold a degree from a non-U.S. institution that does not require coursework for obtaining a degree must send proof of their degree (e.g. a degree certificate) and request the institution to send an official letter including the following information:
    • Statement that the institution does not require coursework for the degree
    • Applicant's dates of enrollment at the institution
    • Degree applicant received and date it was awarded or confirmation that applicant is currently enrolled in a doctoral program and anticipated award date. 
Senior applicants are not required to submit transcripts.

Unofficial transcripts are accepted at the time of application; however, if selected for an award, an official Ph.D. transcript including the date of the degree must be sent from the institution directly to the Fellowships Office.


Immigration Documents
All non-U.S. citizens who are in the United States at the time of application, or who have held J-1 status in the United States within the past 24 months, must send legible copies of their immigration documents to one of the addresses listed above. Depending on the applicant's status, these documents may include:
  • Passport data page
  • Visa(s)
  • I-94 departure card
  • DS-2019 forms (p. 1) and I-20 forms (pp. 1 and 2)
  • Employment Authorization Document (EAD)
  • Resident Alien card (for U.S. permanent residents)
Applicants to the Naval Research Laboratory who are U.S. legal permanent residents are required to send a copy of their alien registration (green) card to the Fellowships Office at the time of application.
